Getting Started with CRM

While we try to make doing business with us as easy and enjoyable as possible, the startup process is where we really shine. Why? Because this is the time where personal attention to your account is most important. This is also the time when you first learn what we mean by flexibility and our desire to provide services that YOU need for your unique situation. Whether you are finally moving out of those mini-storage units, or turning over a warehouse full of records to us, we have “been there, done that.”

The steps to getting your records under control are:

Call Corporate Records Management (214.333.FILE) and ask for an account review. We will discuss the following issues:

  • Where your boxes are currently stored 

  • How many you have and sizes 

  • General condition of boxes 

  • Will file cabinets need to be cleaned out and boxed? (yes, we can do this for you) 

  • How often you retrieve from the boxes 

  • What method of indexing you use for your files (box level or file level within the box) 

  • Need for climate controlled storage of any files 

  • Retention and destruction plans



Next, we will send you an agreement that spells out our, and your responsibilities. Then we will schedule a time convenient to you to pickup your inventory. Depending on the quantity, we may pickup a few boxes in our regular route truck, or we may palletize, stretch wrap and transport them on our 24’ bobtail truck with liftgate. We may even move them with a tractor-trailer if the quantity is great enough.


All boxes are barcoded for traceabililty. As the boxes enter our facility, we will index them or we will use your existing index to associate a barcode with the box description. Finally, they are placed on storage racks and each box is associated to a barcoded location on the rack. The access process is done randomly, so no one can tell whose boxes are stored where. That little secret is held in our software.


We will ask you which individuals in your company have access and retrieval rights to your inventory, and we strictly maintain that confidence. Authorized individuals can retrieve by e-mail, fax or phone.


You no longer have to worry about your documents and records. We pick them up, index them, store them, and bring them back to you when you need them!
